EPPC Albania on behalf of its client, SHELL Upstream Albania, is currently recruiting an Office Assistant (Maternity Leave replacement).
As an Office Assistant, you will be company's first point of contact. Duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence.
Responsibilities:
-Greet and welcome guests as soon as they arrive at the office;
-Direct visitors to the appropriate person and office;
-Ensure reception area is tidy and presentable, with all necessary stationery and material;
-Provide basic and accurate information in-person and via phone/email;
-Receive, sort and distribute daily mail/deliveries;
-Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges);
-Order front office supplies and keep inventory of stock;
-Translation of documents/keeping track of documents translated;
-Scanning, photocopy, and printing of documents;
-Notarization of documents/ keeping track of documents notarized;
-Mail delivery through 3rd party/collection and distribution of letters etc;
-Archive documents/letters;
-Organizing / booking workshops i.e., location booking, accommodation, food and supply of all equipment needed;
-Managing the running of workshops in terms executing the plan and adapting to any changes that may come up.
Requirements for this position are:
-Proven work experience as Office Assistant, Front Office Representative, or similar role;
-Solid written and verbal communication skills;
-Ability to be resourceful and proactive when issues arise;
-Excellent organizational skills;
-Multitasking and time-management skills, with the ability to prioritize tasks;
-Self-starter, entrepreneurial, result-oriented style with ability to manage a variety of tasks and meet deadlines with minimum supervision.
-Fluent in English written and spoken (MUST).
